1. Who we are and what this policy covers

Conifer Advising LLC ("we," "us" or "our") collects only the personal information needed to sell and deliver our mass timber data products, and we do not sell it. This Privacy Policy explains what we collect, why, who we share it with and the choices you have.

It applies to our website at www.coniferadvising.com, the free Mass Timber Map, Custom Reports, the Annual Subscription dashboard, the "Find My Reports" page, and emails we send about them (together, the "Services"). Capitalized terms not defined here have the meaning given in our Terms and Conditions at https://www.coniferadvising.com/terms-and-conditions.

Section 8 separately covers business and project information that appears in our mass timber data itself.

2. Information we collect

We collect information you give us, information created when you buy or use the Services, and limited technical information from your browser.

  • Contact and account details: name, email address, company name, job title (if given) and Squarespace member account login, which you provide at checkout or sign-up.

  • Billing details: billing address, the last four digits and type of your card, and tax ID (if given), which you provide through Stripe. We never receive your full card number.

  • Purchase records: order and Report IDs, price paid, taxes, purchase and renewal dates, and subscription status, created when you buy.

  • Report selections: the filters you chose for a Custom Report and the Report's Generation Date.

  • Terms acceptance: the date, time and version of the Terms you accepted at checkout.

  • Support messages: emails you send us and anything you include in them.

  • Technical information: IP address, browser and device type, pages viewed, referring site, and approximate location from your IP address, collected through cookies and server logs (Section 5).

We do not ask for sensitive information such as government ID numbers, health data or financial account numbers, and we ask that you not send it to us.

3. How we use information

We use personal information to:

  • Process payments, generate Reports from your chosen filters, and deliver them by download and email.

  • Provide Subscription access, send renewal reminders and notices of price or term changes, and process cancellations.

  • Let you retrieve past Reports through "Find My Reports" using sign-in links sent to your email.

  • Send receipts and respond to support requests.

  • Keep records of purchases, tax and Terms acceptance, and handle payment disputes.

  • Protect the Services, including detecting account sharing, scraping or fraud.

  • Understand how the website and map are used so we can improve them, using aggregated information where possible.

  • Send occasional news about our products, only if you opt in or as otherwise permitted by law. Every marketing email includes an unsubscribe link.

  • Comply with legal obligations and enforce our Terms.

We do not use your information for targeted advertising on other sites, and we do not use automated decision-making that has legal or similarly significant effects on you.

4. How we share information

We do not sell or rent your personal information, and we do not share it for cross-context behavioral advertising. We share it only with service providers that help us run the Services, under their own privacy and security terms:

  • Stripe processes payments, prevents fraud and calculates tax. It receives your name, email and billing details, and holds your card data.

  • Squarespace hosts our website and runs member accounts, subscription billing and cancellation. It receives account details, subscription status and technical information.

  • Google (Workspace, Apps Script, Drive, Sheets and Gmail) runs our map and Report tools, stores Reports and purchase records, and sends emails. It receives contact details, purchase records and Report selections.

  • CARTO supplies the map tiles. It receives your IP address and browser information when your browser loads the map.

We may also disclose information:

  • To comply with law, a subpoena or other legal process, or to respond to lawful requests from authorities.

  • To protect our rights, property or safety, or those of our customers or others, including enforcing our Terms.

  • To a buyer or successor if our business or its assets are sold, merged or transferred, subject to this Policy.

  • With your direction or consent.

5. Cookies and analytics

Our website uses cookies and similar technologies set by Squarespace and our map tools. They keep you signed in, remember your cart and settings, keep the site secure, and give us aggregated statistics about visits.

  • Necessary cookies make the site, checkout and member accounts work. They cannot be switched off without breaking the Services.

  • Analytics cookies help us understand traffic and page usage. You can decline them in the cookie banner or your browser settings.

  • We do not use advertising or cross-site tracking cookies.

The map and Report tools also store small preferences in your browser, such as your last filter selections, which stay on your device. Most browsers let you block or delete cookies; some features may not work if you do.

6. Retention and security

We keep personal information only as long as needed for the purposes above:

  • Purchase, tax and Terms-acceptance records: 7 years after purchase, for tax and legal purposes.

  • Reports and your Report selections: at least 12 months after purchase, so you can re-download them (Terms Section 4.5).

  • Subscription account details: while your Subscription is active, then 2 years.

  • Support emails: 2 years after the conversation ends.

  • Technical and analytics data: per Squarespace's and our providers' standard retention.

Security. We use reasonable administrative, technical and physical safeguards, including restricting access to purchase records, storing Reports in private folders, and using expiring, single-use sign-in links instead of passwords for "Find My Reports." Card payments are handled entirely by Stripe. No system is perfectly secure; if a breach affects your personal information, we will notify you and authorities as required by law.

7. Your choices and rights

You can ask us at any time to:

  • Access the personal information we hold about you, or receive a copy of it.

  • Correct information that is inaccurate or incomplete. You can also update account details in your Squarespace customer account.

  • Delete your information. We will delete what we can, but we must keep purchase, tax and Terms-acceptance records for the periods in Section 6. Deleting your data also removes your access to past Reports.

  • Stop marketing emails by clicking "unsubscribe" in any marketing email. You will still receive receipts, renewal reminders and other service messages.

To make a request, email support@coniferadvising.com from the address linked to your purchase. We will verify your identity, respond within 45 days, and will not treat you differently for exercising these rights.

State privacy laws. Depending on where you live and our size, laws in California and other US states may give you additional rights, such as to know what we collect and to appeal a decision about your request. We honor these rights where they apply. We do not sell or share personal information as those laws define it, and we treat browser Global Privacy Control signals as an opt-out where required.

Canada. If you are in Canada, you may also contact us about our handling of your information and, if unsatisfied, complain to the Office of the Privacy Commissioner of Canada.

8. Company and project information in our Data

Our mass timber data describes buildings, projects, manufacturers and installers. It comes from public sources, industry contacts and our own research, and is focused on companies and projects rather than individuals. Some entries may include a company's public address or a project's street address.

If you represent a company or project listed in our Data and believe an entry is inaccurate, or want business contact details corrected or removed, email support@coniferadvising.com with the entry name and the change requested. We will review the request and update future versions of the Data where appropriate. Reports already generated reflect the Data on their Generation Date and are not changed.

9. Other information

Children. The Services are intended for professionals and are not directed to children under 16. We do not knowingly collect their personal information; if we learn we have, we will delete it.

International users. We are based in the United States, and our service providers store information in the United States and other countries. By using the Services from outside the US, you understand your information will be processed there, where privacy laws may differ from those in your country.

Changes to this policy. We may update this Privacy Policy by posting a new version with a new effective date. If we make material changes, we will notify Subscription customers by email before they take effect.
